Job Outline:  Site Operations Manager, Venue
Site Operations Manager is responsible for the logistics and management of all elements related to the Venue as a permanent site, including daily operations, site planning and implementation, team members and crew, project scope completion, direct management of suppliers and subcontractors. Will be responsible for monitoring and communicating project status, coordinating schedules, crew/staff calls, tracking client deliverables, and ensuring the ongoing success of the Venue operations.    Position will be for a 1 year consultant role (contractor status)
Detailed Areas of Focus for the role (not exclusive and could increase or decrease):  
  • Site Venue construction (non creative) and ongoing maintenance, such as: Rental cabins/containers, permanent structures and capital expense projects, site infrastructure items, water connections, power plans and distro, hardware, tools, placement of fencing, bike racks, barricades, interior walls, layouts/jersey barrier placement, lighting, line painting, mapping & mark out, misc site builds and construction, tenting and surveying. (a snapshot, but not exhaustive list)
  • Parking Lot & Offsite construction (non creative), such as: cable trenching, cabins, fencing/bike rack/barricades/tenting, lighting, lane marking, gates, car park barrier, signage. (a snapshot, but not exhaustive list)
  • Site Operations, such as moving or maintaining: cable ramps, cable trenching, cleaning, cranes, fuel, golf carts, gators, trucks, motor pool, heavy equipment/production equipment, keys/locks, general local labor crews and plant drivers, power and generators, restrooms/water stations/water management, signage install support, skips, street sweeper, truck marshalling and deliveries.   • Daily focus will be working within a Site Operations and Venues team to carry out assigned projects and duties across the site related to above areas including working closely with contractors to fulfill scopes, regular check-ins on progress and maintaining standards to completion.
  • This role is heavily reliant on being in the field with hands-on on-the-ground support for supervision of scopes to be completed on time and within any budget parameters set
  • Maintenance on the infrastructure (water, waste, power, fiber internet) around the Venue and connections to permanent and semi-permanent infrastructure.
  • Regular reporting (through variety of verbal or written) to Venues team, Leadership and client
  • Ability to perform site inspections and site visits as required
  • Management of contractors or suppliers including review of crew Induction, Health & Safety standards, working schedules, welfare, equipment/plant needs and frequent inspections of work
  • Other duties as assigned
Responsibilities:  
  • Ability to work with Venue, Facilities management and Project Leadership teams using the venue.
  • Logistics and operational excellence to ensure Site and Venue related scopes are completed to set of standards
  • Ability to work with heavy equipment and use/drive plant
  • Understanding of Site Plans, how to read and implement changes or executing plans
  • Attend regular (weekly) Venue meetings across departments providing updates to scopes, and other regular meetings as required or assigned.
  • Write, review and send RFPs to suppliers and review responses and quotations in detail before submitting for confirmation.
  • Assist in problem solving and troubleshooting regarding Site Build & Ops when required or requested.
  • Write reports and presentations to highlight achievements and in progress action on projects.
 
 
 
Supplier Management  
  • Prepare rental and purchase orders relevant to the department and lead selection of suppliers throughout the procurement process (including requests for quotes, evaluation and submission of paperwork to finance)
  • Provide timely follow ups to suppliers on status of quotations. As well as if a vendor isn’t selected, provide them with feedback and appropriate responses/notifications.
  • Communicate with suppliers about event operations, trucking, labor, and venue logistics.
  • Provide necessary documentation to ensure timely payments for department specific suppliers & coordinate with the finance team about the project specific invoice submission process.
  • Management and oversight of supplier’s crews on site with regular and frequent observations of work to ensure compliance with expectations and completion of scope.
Typical Paperwork:  
  • Create or input of information to Workback / Milestone Schedules for scopes. Isolated schedules as needed.
  • Understanding of budget and expense tracking
  • Submitting of receipts for expenditures
  • Maintain Operations Matrix including suppliers, equipment, assets, keys, etc.
  • Develop robust operating manuals with the Venue teams on structures or infrastructure

Qualifications and Skillsets:  
  • Bachelor’s degree in business, event management/production, health and safety related fields or similar. Further Professional degree or certifications highly considered.  
  • TUV (or equivalent) license to drive plant and work with heavy machinery 
  • Evaluate approaches and discover efficiencies 
  • Strategize, meet and devise plans with Venue team, Site Operations team and Leadership team  
  • Strong project management and budget experience  
  • Ensure legal and contractual documents are correct  
  • Guarantee communication paths are frequent and open  
  • Enforce policies & procedures  
  • Ensure that all work conforms to pre-established specifications & standards. 
  • Take initiative, multi-task, and work positively in a fast-paced environment; ability to remain flexible with changing plans  
  • Work with discretion, diplomacy, confidentiality, and tact in high-pressure settings  
  • Demonstrate a sense of urgency & act responsively  
  • Supremely organized, detail-oriented, and thorough  
  • Minimum of five years of experience in Site Build & Ops similar roles at the international level of mass gathering events.

  • Ability to understand confidential information and know how to appropriately action
