Position Purpose
A Senior Operations Producer at TAIT is integral to providing leadership to team members; optimising and streamlining internal workflows, systems, and procedures to enhance efficiency, productivity, and overall performance within the TAIT producing structure.
This role applies a keen eye and intuitive nature to each project’s individual development. They are highly organised, and adept at managing multiple tasks in a fast-paced environment, leading the planning, execution, and delivery of exceptional live events.
Essential Responsibilities/Accountabilities
- Lead communications between client, internal teams, and event partners to ensure projects are completed on time, in budget & with the client's vision.
- Facilitate the process from initial event inception through event execution and to final reconciliation.
- Oversee elements ranging from timelines, programming, staffing, guest experience, design & creative, etc.
- Effectively communicate a client's vision & collaborate internally to develop creative concepts & implement clear plans of action to meet brand objectives.
- Create and manage budgets ranging from full scale development to pre-defined work to allowances.
- Build timelines, offering suggestions for efficiencies & feasibility.
- Oversee the development of, or directly create, show documents, communication strategy, ground plans & layouts, creative concepts, staffing, onsite security & logistics, transportation, catering, etc.
- Work with staffing team to source, network, vet and hire freelance staff for projects
- Serve as the Supervisor to permalancers & designated full time team members, ensuring a sense of belonging and adding value to glue.
- Identify opportunities for automation, digitization, and system integration to streamline internal operations and enhance productivity.
- Collaborate with IT and technology teams to evaluate, select, and implement software solutions and tools to support event production and management.
- Conduct regular performance reviews and assessments to measure the effectiveness and efficiency of internal operational processes and identify areas for improvement.
- Perform assigned duties according to the policies and expectations prescribed by the company.
Management Responsibility
- Manage team meeting, communications with full time staff, and consistency of projects and process
- Freelance Project staff Supervision and onboarding of freelancers engaged for projects basis, including but not limited to Producers, Production Managers, Production Coordinators, and Production Assistants
Competencies
- Strong leadership and project management skills, with the ability to inspire and motivate teams to achieve excellence in a fast-paced environment.
- Proficiency in budgeting, financial analysis, and contract negotiation, with a keen eye for detail, accuracy, and experience in maintaining profit margins
- Ability to juggle many concurrently ongoing conversations & projects
- Exceptional communication, negotiation, and interpersonal skills, with the ability to build rapport and trust with clients and stakeholders at all levels.
- Extensive knowledge of technical production elements, including audio, lighting, video, rigging, and special effects.
- Working knowledge of print process & materials, scenic construction & materials, video production, lighting, theatrical design, and live event production & traffic flow.
- Flexibility to work irregular hours / non-traditional hours including evenings and weekends, and travel as required by event schedules.
- Comfortable with domestic travel. International travel possible. (site visits & onsite time- depending on project assignments.)

Minimum Qualifications
- Experience in event production, preferably in live entertainment, corporate events, or experiential marketing.
- Fully proficient in Microsoft Office and Keynote
- Proficiency in communications and project management tools and software, such as Slack, Google Suite, Box and AirTable.
